Clearline AI Privacy Policy (Last updated: April 12, 2026)
Clearline AI ("we," "us," or "our") operates appointment reminder, missed-call follow-up, and patient communication services on behalf of dental practices and healthcare providers. This Privacy Policy explains what information we collect, how we use it, and how we protect it.
1. Information We Collect
We collect only the information necessary to deliver appointment reminder and patient communication services. This includes:
Patient name
Patient mobile phone number
Appointment date, time, type, and provider name
Communication history (messages sent and delivery status)
We do not collect Social Security numbers, financial information, payment details, or sensitive medical information beyond appointment scheduling data.
2. How We Use Information
We use the information we collect solely to:
Send appointment reminders via SMS and other messaging channels
Send follow-up messages after missed calls to dental practices we serve
Confirm or reschedule appointments at the patient's request
Maintain delivery records for service quality and compliance purposes
3. How We Share Information
We do not sell, rent, lease, or share patient information with any third parties for marketing purposes. We do not share patient information with advertisers, data brokers, or any party outside the dental practice that originally collected the information.
We share information only with:
The dental practice that collected the patient's contact information
Service providers strictly necessary to deliver SMS messages (such as our messaging carrier, Twilio), under contractual obligations to protect the data
Law enforcement, when required by valid legal process
4. SMS and Messaging Communications
Patients receive SMS messages only after providing their phone number to a dental practice and consenting to receive appointment-related communications. Patients may opt out of SMS messages at any time by replying STOP to any message. After opting out, patients will receive a single confirmation message and no further messages.
Mobile information is never shared with third parties or affiliates for marketing or promotional purposes. All categories of information described in this policy exclude mobile phone opt-in data and consent; this information is not shared with any third parties.
5. Data Retention
We retain patient information only as long as necessary to provide reminder services and to comply with legal record-keeping requirements. When a patient opts out, their phone number is added to a suppression list to prevent future messages but otherwise removed from active records.
6. Data Security
We use industry-standard administrative, technical, and physical safeguards to protect information from unauthorized access, alteration, disclosure, or destruction. All data is transmitted over encrypted connections.
7. Children's Privacy
Our services are not directed to children under 13. We do not knowingly collect personal information from children under 13. If a parent or guardian believes we have collected such information, please contact us and we will delete it promptly.
8. Your Rights
Patients may request to access, correct, or delete their information by contacting the dental practice that collected it, or by contacting Clearline AI directly at the email below. Patients may opt out of SMS messages at any time by replying STOP.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this document reflects the most recent revision. Continued use of our services after changes constitutes acceptance of the updated policy.
